Vendor Code of Conduct

This Vendor Code of Conduct (“Code”) outlines the standards and expectations for all activity providers (“Vendors”) who use the ORYN Quest platform (“Platform”). By creating a Vendor account or offering activities through the Platform, you agree to follow this Code.

1. PROFESSIONALISM & CONDUCT

Vendors and their staff must:

  • behave professionally at all times,
  • treat children and families with respect,
  • maintain appropriate boundaries,
  • avoid discriminatory, abusive, or threatening behavior,
  • communicate clearly and courteously with Parents.

2. SAFETY & SUPERVISION

Vendors are responsible for:

  • maintaining safe environments,
  • supervising children appropriately,
  • following reasonable safety practices,
  • ensuring equipment is in good working condition,
  • complying with all child safety laws.

Unsafe conduct may result in removal from the Platform.

3. LEGAL COMPLIANCE

Vendors must comply with all applicable laws, including:

  • business licensing requirements,
  • facility regulations,
  • child protection laws,
  • mandatory reporting laws (where applicable),
  • accessibility and accommodation laws.

4. ACCURATE INFORMATION

Vendors must provide accurate and truthful information in:

  • activity descriptions,
  • schedules,
  • pricing,
  • staff qualifications,
  • refund and cancellation policies.

Listings must be updated promptly if details change.

5. COMMUNICATION

Vendors agree to:

  • respond to Parent inquiries in a timely manner,
  • notify Parents of schedule changes or emergencies,
  • communicate professionally and respectfully,
  • avoid direct communication with children outside supervised settings unless required for safety.

6. ACCOMMODATIONS

Vendors must:

  • review accommodation requests in good faith,
  • provide reasonable accommodations when feasible and lawful,
  • communicate clearly if a request cannot be met.

7. MEDIA & PRIVACY

If Vendors photograph or record activities:

  • they must follow applicable laws,
  • they must follow their own stated media policy,
  • they must obtain any required consents,
  • they must respect Parent decisions regarding media use.

Child information must be used only for activity participation and never for marketing without consent.

8. PROHIBITED CONDUCT

The following conduct is strictly prohibited:

  • physical punishment or aggressive behavior,
  • verbal abuse, threats, or harassment,
  • discriminatory or hateful behavior,
  • inappropriate touching or sexualized conduct,
  • providing alcohol, drugs, or unsafe substances,
  • knowingly placing children in unsafe situations,
  • falsifying qualifications or credentials,
  • soliciting Parents to bypass ORYN Quest for future bookings.

9. INCIDENT MANAGEMENT

Vendors must:

  • notify Parents promptly of injuries, illnesses, or behavioral incidents,
  • follow venue and site emergency procedures, including contacting emergency services (911) when a child's health or safety requires it,
  • document all incidents accurately, including the date, time, people involved, what happened, and any care provided, and retain those records,
  • notify ORYN Quest at support@orynquest.com within 24 hours of any serious incident,
  • cooperate fully and truthfully with any investigation by ORYN Quest, law enforcement, or child protection authorities.

A "serious incident" includes, at a minimum:

  • any injury requiring medical attention beyond basic first aid,
  • any allegation of abuse, neglect, or inappropriate conduct,
  • any missing or unaccounted-for child, even briefly,
  • any event involving emergency services,
  • any incident a reasonable Parent would expect to be told about.

Vendors must not discourage Parents from reporting incidents to ORYN Quest or to authorities. See the Child Safety Policy for additional reporting requirements.

10. VIOLATIONS & ENFORCEMENT

ORYN Quest may investigate any suspected violation of this Code. During an investigation, ORYN Quest may pause a Vendor's listings, bookings, or account.

Depending on the nature and severity of a violation, ORYN Quest may apply graduated sanctions, including:

  • (a) a written warning,
  • (b) required corrective action within a stated deadline,
  • (c) removal or suspension of specific listings,
  • (d) temporary suspension of the Vendor account,
  • (e) permanent removal from the Platform,
  • (f) withholding or offsetting pending payouts as permitted under the Vendor Agreement, including to cover refunds owed to Parents.

Conduct that endangers a child, or any conduct described in Section 8 (Prohibited Conduct), may result in immediate permanent removal without prior warning. ORYN Quest may also report conduct to law enforcement or child protection authorities where appropriate or required by law.

Enforcement decisions are made at ORYN Quest's reasonable discretion. Removal from the Platform does not relieve a Vendor of obligations that survive under the Vendor Agreement, including obligations owed to Parents for existing bookings. Disputes relating to enforcement are resolved as described in the Terms of Use and the Vendor Agreement.

11. ACKNOWLEDGMENT

By creating a Vendor account, maintaining a listing, or accepting bookings through the Platform, you acknowledge that:

  • you have read and understood this Code,
  • you agree to follow it and to ensure your staff, contractors, and volunteers follow it,
  • this Code supplements, and does not replace, the Vendor Agreement, the Terms of Use, the Community Guidelines, and the Child Safety Policy,
  • ORYN Quest may update this Code from time to time, and continued use of the Platform after an update constitutes acceptance.
