Vendor Verification Policy

ARTICLE 1 — PURPOSE AND PLAIN-LANGUAGE SUMMARY

1.1 Purpose

This Vendor Verification Policy ("Policy") explains, honestly and specifically, what ORYN Quest, Inc. ("ORYN Quest," "we," "our," or "us") reviews about Vendors on the ORYN Quest platform (the "Platform") — and, just as importantly, what we do not independently verify.

1.2 Plain-Language Summary

In short:

  • we review the business-facing information a Vendor submits at application;
  • we review listings for accuracy signals, appropriateness, and policy compliance;
  • we monitor ongoing community signals — ratings, reports, and message moderation; and
  • we do NOT independently verify professional licenses, certifications, insurance, background-check claims, or accommodation capabilities.

Vendors attest to those items themselves, and Parents should verify them directly with the Vendor.

1.3 Who Is Bound

This Policy is part of the Vendor-facing document family (ranking in the order of precedence stated in the Vendor Participation Agreement) and is informational for Parents. Capitalized terms not defined here have the meanings given in the Vendor Participation Agreement, the Vendor Terms & Conditions, and the Parent & Guardian Terms and Conditions.

ARTICLE 2 — WHAT ORYN QUEST REVIEWS

2.1 Application Review

Every Vendor must apply and be approved before publishing listings. During application review, ORYN Quest reviews the business-facing information submitted, including:

  • business name and category;
  • business description;
  • business contact information (address, city, phone, website where provided);
  • listing-relevant attributes the Vendor declares (for example, accessibility attributes and insurance-acceptance declarations); and
  • documents the Vendor chooses to upload in support of its application.

Applications may be approved or declined; declined applicants may correct deficiencies and resubmit.

2.2 Agreement Acceptance Records

Vendors must accept the Vendor Participation Agreement and related policies before participating. ORYN Quest keeps versioned acceptance records.

2.3 Listing Review

ORYN Quest may review listings at any time for:

  • accuracy and completeness signals;
  • appropriateness for a child-and-family audience;
  • prohibited content; and
  • off-platform payment steering.

ORYN Quest may remove or restrict listings as provided in the Vendor Participation Agreement.

2.4 What Application Approval Means

Approval means the application's business information passed ORYN Quest's review and the Vendor may operate on the Platform. Approval is not a license check, an inspection, an insurance audit, a background check, or an endorsement.

2.5 What Account States Mean Publicly

For transparency about the lifecycle Parents may observe:

  • pending and rejected Vendors are not publicly listed;
  • approved Vendors are publicly listed;
  • Vendors on probation (a quality state described in Article 3) remain publicly listed while improvement is expected; and
  • suspended Vendors are removed from public marketplace listing while suspension lasts.

ARTICLE 3 — ONGOING COMMUNITY AND PLATFORM SIGNALS

3.1 Ratings and Automated Quality Enforcement

Parent ratings continuously feed automated quality enforcement:

  • (a) a Vendor whose average rating falls below 4.0 stars (with at least three (3) reviews) is automatically placed on probation; and
  • (b) a Vendor on probation is restored automatically when its average rating returns to 4.0 or higher.

Sustained low quality may lead to suspension or removal.

3.2 Reports and Complaints

Parents can report concerns through the Platform and at support@orynquest.com. Reports are reviewed and may lead to:

  • listing restrictions;
  • suspension pending review; or
  • removal from the Platform.

3.3 Message Moderation

Platform messaging is subject to automated moderation:

  • abusive content is blocked;
  • off-platform payment steering and contact-sharing in a steering context are flagged; and
  • flags, including repeat-offense patterns, receive administrative review.

3.4 Incident Reporting Duty

Vendors are contractually required to notify ORYN Quest of serious safety incidents within twenty-four (24) hours, as set out in the Vendor Participation Agreement and the Vendor Code of Conduct.

3.5 Administrative Audit Records

Administrative account actions (approval, rejection, suspension, reinstatement) are recorded in internal audit logs supporting consistent enforcement.

ARTICLE 4 — WHAT ORYN QUEST DOES NOT INDEPENDENTLY VERIFY

4.1 Self-Attested Information

The following are provided or claimed by Vendors and are NOT independently verified, inspected, or certified by ORYN Quest:

  • professional, business, or childcare licenses and permits;
  • instructor, coaching, safety, first-aid, CPR, or other certifications;
  • insurance coverage of any kind, including liability insurance;
  • background checks or other staff screening a Vendor claims to perform;
  • staff qualifications, experience, and training;
  • accommodation and accessibility capabilities (including autism-friendly and other accessibility declarations);
  • facility conditions, equipment, and supervision ratios; and
  • educational, developmental, or therapeutic outcomes.

4.2 Contractual Backstop

Vendors contractually represent that their licenses, insurance, and legal compliance are in order, and must notify ORYN Quest if that ceases to be true (Vendor Participation Agreement, Articles 2 and 8). A contractual representation is a promise by the Vendor; it is not verification by ORYN Quest.

4.3 No Verification Badges

The Platform does not currently display verification badges or certification marks. If verification indicators are introduced in the future, the Platform will describe exactly what each indicator does and does not mean.

ARTICLE 5 — WHAT PARENTS SHOULD DO

5.1 Verify Directly

Because ORYN Quest does not independently verify the items in Article 4, Parents should verify them directly with the Vendor before booking, especially for higher-risk or drop-off Activities.

5.2 Suggested Questions

Parents are encouraged to ask Vendors directly about:

  • current licenses or permits applicable to the program;
  • staff screening and background-check practices;
  • relevant certifications (for example CPR/first aid, lifeguard, coaching);
  • liability insurance;
  • supervision ratios and check-in/check-out procedures; and
  • how the specific accommodations their Child needs will be met.

5.3 Use Platform Signals

Reviews, ratings, and responsiveness are genuine community signals. Parents should weigh them alongside their own direct verification, not instead of it.

ARTICLE 6 — ENFORCEMENT

6.1 Enforcement Tools

Where review, reports, moderation, or quality signals reveal problems, ORYN Quest may apply the enforcement framework of the Vendor Participation Agreement, the Vendor Code of Conduct, and the Trust & Safety Policy, including:

  • warnings and corrective action plans;
  • listing restrictions or removal;
  • probation;
  • suspension (which removes public marketplace visibility); and
  • permanent removal.

6.2 Kid-Zone Visibility Control

Independently of marketplace status, ORYN Quest may hide any Vendor from the ORYN Town kids' surface at any time as a brand-safety control.

6.3 No Obligation to Act or Monitor

ORYN Quest reserves discretion in enforcement decisions and does not undertake a duty to monitor, inspect, or supervise Vendor operations.

ARTICLE 7 — RESERVED RIGHTS

7.1 Future Verification Layers

ORYN Quest reserves the right to add verification requirements over time, for all Vendors or for specific categories, including:

  • documentary license checks;
  • insurance certificate collection;
  • screening through third-party verification providers; and
  • other verification layers appropriate to the marketplace.

7.2 Notice

Any new verification requirement will be announced with reasonable notice. This Policy will be updated so that it accurately describes what is and is not verified at any given time.

ARTICLE 8 — NO GUARANTEE; RELATIONSHIP TO OTHER DOCUMENTS

8.1 No Guarantee

Nothing in this Policy is a guarantee of any Vendor's quality, safety, legality, or fitness. ORYN Quest is a technology marketplace; Vendors are independent businesses solely responsible for their operations and compliance.

8.2 Related Documents

This Policy should be read together with:

  • the Vendor Participation Agreement;
  • the Vendor Terms & Conditions;
  • the Marketplace Rules;
  • the Background Check Policy;
  • the Trust & Safety Policy;
  • the Child Safety Policy; and
  • the Terms of Use.

In the event of a conflict, the order of precedence in the Vendor Participation Agreement governs.
