Communications Consent and Notices Policy

This Communications Consent and Notices Policy ("Policy") describes the communications ORYN Quest, Inc. ("ORYN Quest," "Company," "we," "our," "us") sends to users of the ORYN Quest platform (the "Platform"), the channels used, and how you can manage your preferences. It works together with the Terms of Use, the Parent & Guardian Terms and Conditions, the Privacy Policy, and the Marketing Consent Policy. If this Policy conflicts with the Terms of Use or the Parent & Guardian Terms and Conditions, those documents control.
ARTICLE 1 — SCOPE AND CONSENT
1.1 What This Policy Covers
This Policy covers communications from ORYN Quest to you: emails, in-Platform notices and notifications, and any future channels we adopt. It does not cover user-to-user communications (such as Parent-Vendor messaging), which are governed by the Acceptable Use Policy and the Trust & Safety Policy.
1.2 Service Communications Are Part of the Platform
By creating an Account, you agree to receive the transactional and relationship communications described in Article 2. These communications are part of operating the Platform — they confirm your transactions, protect your Bookings, and deliver legally required notices — and most cannot be opted out of while your Account remains open, because the service cannot function safely without them.
1.3 Electronic Delivery
You consent to receive notices, disclosures, policy updates, and other communications from ORYN Quest electronically — by email to the address on your Account or through the Platform — and agree that electronic delivery satisfies any requirement that a communication be in writing, to the extent permitted by Applicable Law.
ARTICLE 2 — TRANSACTIONAL AND RELATIONSHIP COMMUNICATIONS
2.1 What We Send
Depending on your role and activity, service communications include:
- (a) BOOKING COMMUNICATIONS — booking confirmations, changes, and cancellation notices;
- (b) BOOKING REMINDERS — reminder emails sent approximately one day (in practice, roughly 23 to 25 hours) before a confirmed session;
- (c) WAITLIST NOTICES — notices when a waitlist spot opens for you and your hold window (currently 24 hours) begins, and when a hold expires;
- (d) WAIVER NOTICES — notices that a Vendor-required waiver must be signed before a Booking can be completed, and related waiver-status communications;
- (e) PAYMENT AND BILLING COMMUNICATIONS — payment confirmations and receipts, membership renewal notices, failed-payment notices, and, for recurring enrollments, billing communications such as low-credit warnings sent in advance of an automatic session charge and notices when sessions are skipped or an enrollment is cancelled for insufficient credits;
- (f) SAFETY AND POLICY NOTICES — safety alerts, enforcement and moderation notices affecting your Account, and notices of changes to our terms and policies;
- (g) LEGAL CONSENT PROMPTS — when a legal document you have accepted changes materially, the Platform prompts you (in-Platform, on your next visit) to review and re-accept the updated version; and
- (h) ACCOUNT AND SECURITY COMMUNICATIONS — sign-in, account-change, and security-related notices, including those delivered by our authentication provider.
2.2 Why You Cannot Opt Out of These
The communications in Section 2.1 are transactional or relationship messages tied to your Account and transactions. While your Account is open, they are not subject to marketing-style opt-out, though we honor channel preferences where an alternative exists. Closing your Account (see the Privacy Policy and the data-deletion instructions on the Platform) ends them, except for communications required to complete open transactions or meet legal obligations.
ARTICLE 3 — DIGEST AND RE-ENGAGEMENT EMAILS
3.1 What We Send
We also send account-relationship emails that are informational rather than transactional:
- (a) WEEKLY ACTIVITY DIGEST — a weekly email highlighting new and relevant Activities; and
- (b) RE-ENGAGEMENT EMAILS — if you have not signed in for 14 days or more, we may send occasional "we miss you" emails (currently sent no more often than approximately every 3 days while you remain inactive), which may include your Credit balance and Activity suggestions.
3.2 Unsubscribe Honored
Digest and re-engagement emails include an unsubscribe mechanism, and unsubscribe requests are honored. Unsubscribing from these emails does not stop the service communications described in Article 2.
3.3 Delivery Provider
Our emails are delivered through Resend, our email service provider, which processes your email address and message content on our behalf as described in the Privacy Policy.
ARTICLE 4 — IN-PLATFORM NOTIFICATIONS
The Platform surfaces in-app notifications — for example, new message alerts, booking status changes, and consent prompts — while you use the web or mobile applications. These are part of the Platform interface. Where your device or browser offers notification controls, you may manage them through your device settings; disabling device-level notifications does not delete the underlying in-Platform messages or notices.
ARTICLE 5 — OPTIONAL CALENDAR SYNC
5.1 A Channel You Control
If you choose to connect your Google Calendar, the Platform can write your booked activity sessions to your own calendar so that your calendar's reminders work for your family schedule. This is optional and user-initiated.
5.2 Limited Access
The calendar connection requests only the access needed to manage calendar events plus your email address for account matching — nothing more. Calendar entries created this way live in your own Google account, and any reminders they trigger come from Google Calendar under your settings, not from ORYN Quest.
5.3 Disconnecting
You may disconnect the calendar integration at any time through your Account settings or your Google account's third-party access controls. Disconnecting stops future syncing; it does not delete events already written to your calendar, which you can remove yourself.
ARTICLE 6 — SMS AND TEXT MESSAGES
6.1 Current State
The Platform communicates today primarily by email and in-Platform notices. We maintain SMS capability (through Twilio) but do not currently send marketing text messages.
6.2 If SMS Programs Launch
If we introduce SMS programs (for example, booking-reminder texts or promotional texts), we will: obtain the required consent first — including express opt-in before any marketing SMS; disclose expected message frequency and that message and data rates may apply; and honor opt-out (such as replying STOP) in accordance with Applicable Law. Consent to marketing SMS will never be a condition of using the Platform.
ARTICLE 7 — VOICE AI SESSIONS
The Platform's voice assistant processes your audio in real time through Google Gemini services to understand and respond to you. Voice interactions are AI-feature usage, not a broadcast communication channel, and are governed by the AI Features Terms; how audio and conversation data are handled, and the personalization derived from them, is described in the Privacy Policy. Do not use the voice assistant for emergencies — call 911.
ARTICLE 8 — MANAGING YOUR PREFERENCES
You can manage communications by:
- (a) using the unsubscribe mechanism in any digest or re-engagement email;
- (b) adjusting available notification and communication settings in your Account;
- (c) emailing support@orynquest.com with your request — we aim to apply preference changes promptly, though a message already queued may still be delivered; and
- (d) closing your Account, which ends non-essential communications as described in Section 2.2.
ARTICLE 9 — KEEPING YOUR CONTACT INFORMATION CURRENT
You are responsible for keeping the email address on your Account accurate and current. Notices sent to the email address associated with your Account are considered delivered when sent, and important Booking, billing, safety, and legal communications will be directed there. If you lose access to your email address, update your Account promptly or contact support@orynquest.com.
ARTICLE 10 — CHILDREN
ORYN Quest directs its communications to adult Account holders only. Children do not have Accounts, and we do not knowingly send communications to children. The kid-facing ORYN Play area collects no contact information and sends nothing.
ARTICLE 11 — CHANGES TO THIS POLICY
We may update this Policy from time to time, including as communication channels are added or retired. When we do, we will revise the "Last Updated" date above. For material changes, we will provide notice through the Platform or by email. Continued use of the Platform after an update takes effect constitutes acceptance of the updated Policy.
